Staff document tracking: how to never miss an expiry again
Every shift business has documents that must stay current — first-aid certificates, registrations, checks, licences. The problem is never storing them; it's noticing the expiry before the document lapses. The fix is a system where every document has a date and the dates watch themselves.
Why folders fail
A folder (paper or cloud) remembers documents but not deadlines. Nothing in a folder taps you on the shoulder three weeks before a certificate runs out — so the expiry is discovered exactly when it matters most, usually during an audit or after rostering someone who is no longer covered.
The three-part system
- Store each document against the staff profile it belongs to
- Record an expiry date when you upload it — every time, no exceptions

What good alerts look like
