Roster Hub
One workspace for shift teams

Roster, track, and manage your team without the spreadsheet chaos.

Roster Hub helps teams manage shifts, clock-ins, timesheets, kilometres, documents, payroll-ready records, and daily operations in one simple workspace.

The problem

Rosters in one place, timesheets somewhere else, documents in folders — and payroll still needs manual checks.

Every handover between tools is a place where hours go missing, clock-ins get forgotten and certificates quietly expire. The work gets done; the record of it falls apart.

The fix

Roster Hub brings the daily work into one clean command centre.

  • The roster, the time clock and the timesheet are the same record — no re-typing between systems.
  • Problems surface the day they happen, not at payroll time.
  • Workers get a simple app; managers get the full picture.

The week, built in minutes

Drag the week into shape, copy it forward, and watch open shifts get filled. Everyone's phone updates the moment you publish.

  • Weekly grid that reads like the whiteboard you replaced
  • Availability respected from the start
  • Open shifts flagged until they're filled

The worker app

Clocking in is the easiest part of the shift

Today's shift, one tap to clock in, breaks and notes along the way, one tap to clock out. The timesheet writes itself.

  • Time-window checks so clock-ins happen when shifts start
  • Location snapshot at clock-in and clock-out — not constant tracking
  • Shift notes and KM claims captured in the moment

Manager dashboard

Problems surface the day they happen

Missed clock-ins, pending timesheets, expiring documents, unfilled shifts and payroll checks — one screen, sorted by what needs you first.

  • Fix a missed clock-in while everyone still remembers the day
  • Approve timesheets in minutes, not evenings
  • Renew documents before they lapse, not after

Staff management

One organised record per person

Profiles, roles, emergency contacts, addresses, documents and notes — everything you reach for in a hurry, where you expect it.

Profiles & roles

Who they are, what they do, and what they can access.

Emergency contacts

The number you need in the moment you need it.

Documents

Certificates and checks with expiry dates that watch themselves.

Notes & history

Context that survives manager handovers.

Timesheets & payroll

Payroll-ready, not payroll-maybe

Roster Hub doesn't run your payroll — it hands your payroll process a record it can trust: real hours from real clock-ins, with allowances, kilometres and approvals attached.

  • Timesheets generated from clock data, not memory
  • Exceptions flagged for review; the rest approved in bulk
  • Exports your bookkeeper or payroll software can take as-is

Access & roles

Everyone sees exactly what they should

Role-based access is built in, not bolted on.

  • Admins — the whole workspace, settings and billing
  • Managers — rosters, approvals, staff records and alerts
  • Workers — their shifts, their clock-ins, their claims. Nothing else.
Built on trust

Your data, handled like it matters

  • Export your data whenever you want it
  • Role-based access on every screen and record
  • Audit trail on the records that count
  • Privacy-focused — location is a snapshot at clock-in/out, not tracking
  • Built for Australian teams, supported from Australia
Questions

Asked before you ask

What is rostering software?

Rostering software lets you plan who works when, share the roster with your team instantly, and capture what actually happened — clock-ins, breaks, notes and hours — so timesheets and payroll start from facts instead of memory. Roster Hub combines the roster, a mobile time clock, timesheets and staff records in one workspace.

Can workers clock in from their phone?

Yes. Workers open the Roster Hub app on their phone, see today's shift and tap Clock in. Clock-ins respect the shift's time window and capture a location snapshot at clock-in and clock-out, with breaks and shift notes recorded along the way.

Can managers approve timesheets?

Yes. Timesheets are built automatically from real clock-in and clock-out data. Managers review exceptions — like a missed clock-in or an edited finish time — approve the rest, and the approved record flows into a payroll-ready export.

Can Roster Hub track kilometres?

Yes. Workers submit kilometre claims with their shift, so travel ends up in the same record as hours and allowances and appears in the payroll-ready export instead of a separate spreadsheet.

Does Roster Hub support staff documents?

Yes. Upload documents and certificates against each staff profile, record expiry dates, and get dashboard alerts before anything lapses — so renewals happen calmly instead of during an audit.

Is Roster Hub only for care providers?

No. Roster Hub is built for any rostering-heavy team — support providers, care and community teams, cleaning, field services and other shift-based businesses. If your week starts with 'who is working where', it fits.

Can I use Roster Hub instead of spreadsheets?

Yes — that's the point. The roster, timesheets, kilometre claims, staff records and documents that usually live across several spreadsheets and folders live in one workspace, connected to what actually happened on shift.

Does Roster Hub work on iPhone?

Yes. Workers use the Roster Hub iPhone app to see shifts, clock in and out, and submit notes and claims. Managers can run the whole workspace from a desktop browser, with the same data everywhere.
